Safari booking terms & conditions

These Terms & Conditions apply to all safari tours, day excursions, beach holidays, fly-in safaris, accommodation arrangements, transfers and other travel services booked through Timken Tours Kenya. By making a booking or paying a deposit, the client confirms that they have read, understood and accepted these Terms & Conditions.

1. Booking & Confirmation

A safari booking is considered confirmed once:

The client has accepted the proposed itinerary and quotation in writing.
The required deposit or payment has been received.
Timken Tours Kenya has confirmed the booking in writing.

A provisional quotation or itinerary does not guarantee availability until the required payment has been received and the booking has been confirmed.

Accommodation, flights, safari vehicles and activities are subject to availability at the time of booking.

2. Safari Prices

Safari prices are based on the itinerary, number of travelers, accommodation selected, transportation, park fees, activities and other services specified in the quotation.

Unless otherwise stated, the quotation will clearly indicate what is included and excluded.

Prices may change before confirmation due to changes in:

  • Accommodation rates
  • Park and conservation fees
  • Government taxes or levies
  • Domestic flight fares
  • Fuel and transportation costs
  • Exchange-rate fluctuations
  • Supplier price changes

Once a booking has been confirmed and paid for, any subsequent supplier or government charges applicable to that booking will be communicated to the client where relevant.

3. Deposit & Payment

A deposit is required to secure the booking.

Standard deposit: 40 % of the total safari cost.

The remaining balance must be paid:

30 days before the safari start date.

For bookings made close to the departure date, full payment may be required at the time of confirmation.

Specific payment terms stated on the client’s quotation or invoice take precedence where they differ from these general terms.

4. Late or Non-Payment

If the required balance is not received by the agreed payment deadline, Timken Tours Kenya reserves the right to cancel the booking after notifying the client.

Any cancellation charges or non-refundable amounts already incurred with suppliers may be deducted from amounts paid.

Where applicable, the client will be responsible for any additional costs resulting from late payment.

5. Cancellation by the Client

Cancellation requests must be submitted in writing.

Cancellation charges depend on how far in advance the cancellation is received and on the cancellation policies of the accommodation providers, airlines, parks, conservancies and other suppliers involved.

Recommended cancellation structure

More than 60 days before arrival:
Deposit may be refundable less any non-refundable supplier charges and applicable administration fees.

30–59 days before arrival:
Cancellation charges may apply depending on supplier policies.

15–29 days before arrival:
A substantial cancellation charge may apply.

14 days or less before arrival:
Up to 100% of the booking cost may be non-refundable where suppliers have imposed corresponding charges.

No-show:
No refund will normally be provided.

These percentages are a suggested commercial framework and should be replaced with Timken Tours Kenya’s actual supplier-backed cancellation policy before publication.

6. Changes to a Booking

Clients may request changes to their itinerary after confirmation.

Changes may include:

  • Travel dates
  • Number of travelers
  • Accommodation
  • Safari duration
  • Destinations
  • Transport arrangements
  • Activities
  • Domestic flights
  • Beach extensions

Changes are subject to availability and may result in additional costs.

Any supplier cancellation or amendment fees resulting from a requested change will be payable by the client.

7. Reduction in Number of Travelers

If one or more travelers withdraw from a confirmed booking, the remaining travelers may be required to pay a revised per-person rate.

This is because safari pricing can depend on the number of people sharing accommodation, vehicles and other services.

Any applicable cancellation charges will be determined according to the supplier terms and the timing of the change.

8. Accommodation

Accommodation is provided according to the confirmed itinerary.

Specific room types, lodges and camps are subject to availability.

Where the accommodation originally quoted becomes unavailable, Timken Tours Kenya may arrange an alternative property of a similar standard and location.

If the alternative accommodation has a different price, the difference will be communicated to the client before confirmation where reasonably possible.

Hotel and lodge check-in and check-out times are determined by the individual property.

Special requests such as:

  • Double beds
  • Twin beds
  • Connecting rooms
  • Ground-floor rooms
  • Honeymoon arrangements
  • Dietary requirements

are subject to availability and cannot always be guaranteed.

9. Safari Transportation

Safari transportation will be provided according to the confirmed itinerary.

Depending on the package, transportation may be by:

  • 4×4 safari Land Cruiser
  • Safari minivan
  • Private vehicle
  • Domestic aircraft
  • Transfer vehicle
  • Boat or other approved transport

The vehicle type will be stated in the safari quotation where relevant.

Clients must comply with reasonable safety instructions given by the driver-guide.

10. Game Drives & Wildlife Sightings

Wildlife safaris take place in natural environments.

Timken Tours Kenya does not guarantee sightings of any particular animal, including the Big Five.

The location and behavior of wildlife are naturally unpredictable and may vary according to:

  • Weather
  • Season
  • Animal movements
  • Habitat conditions
  • Time of day
  • Park regulations

Our driver-guides will make reasonable efforts to provide an enjoyable wildlife experience while respecting park regulations and responsible wildlife-viewing practices.
